Hello Everyone!
It's time to start planning our next UMTIA conference and we need you to make it happen!
Below is a description of some of the volunteer positions we need to fill. If anything interests you, please come to the planning committee meeting and tell us what you would like to do. If only some of the tasks interest you, that's great too. We would love your help!
Don't worry! All the jobs are easy and fun and if everyone pitches in a little, they won't take much time at all. On top of that, a lot of the work is already done for you!

Dear Translators/Interpreters:
The organization of UMTIA's 2010 Conference (which will take place on September 25th) is well on its way and we need your help to make it happen. We are looking for volunteers who are willing to help us with specific tasks (as described below).
Besides the pride that comes from helping an organization that supports your profession, volunteering has many advantages: you can add it to your CV, you will get experience working for a non-profit and organizing events, and you will rub shoulders with experienced professionals and people who are involved in the registry. On top of all that, we will offer discounts to volunteers who work a certain number of hours.
Though it is not essential that you attend all Conference Planning meetings, you will need to attend some of them and stay informed as to what is happening every month in order to be prepared to do your job. Please note that we need several persons for each job.
Remember all of us on UMTIA's Board work as volunteers, with the sole objective of promoting and improving the translation and interpreting fields in the Upper Midwest. Remember volunteering is an investment on your profession and your future. We hope we can count on you to organize our most important event of the year.

- Theme Creator Thinks of themes for the conference.
- Program Cover Designer Creates and designs the top cover for the conference hard copy program.
- Volunteer Coordinator Gathers all necessary people to volunteer for conference, during preparation time and especially for the day of the conference, keeps all volunteer contact information organized and updated, keeps in contact with volunteers and confirms commitment to and completion of tasks, assigns day of conference jobs, coordinates and leads conference preparation folder stuffing and rehearsal days, manages and directs volunteers during the entire conference day.
- Vendor Coordinator Seeks out organizations / companies / persons/ who would want to purchase vendor tables at the conference, explains to them the cost and the benefits, relays their advertising information to the Program Coordinator for publication in the program, makes sure the venue has provided enough vendor tables and equipment, greets and assists vendors the day of the conference, works with advertising coordinator to place any vendor ads in the program.
- Program Advertising Coordinator Seeks out organizations / companies /persons who would want to purchase ad space in the conference program, explains to them the cost and the benefits and how to complete a purchase, relays their advertising information to the Program Coordinator for publication in the program, ensures advertisers receive either a pdf or hard copy of the program and their ad.
- Presenters Coordinator Seeks out persons who would like to give presentations at the conference, makes sure the call for papers has been widely distributed to facilitate the latter, evaluates presentation abstracts with other committee members for approval, sets up any travel or hotel arrangements for out of towners, keeps in contact with approved presenters to make sure needs are met, especially A/V items, gathers presenter biographical information and information on their presentations, edits it, and relays it to the Program Coordinator for publication, greets and directs presenters during the day of the conference, distributes thank you cards, gifts, and honorariums.
- Program Coordinator Gathers all necessary information about the conference, including presenter biographies, abstracts, vendor information, advertisements, creates a table of contents and any other needed pages, formats them, and prepares them to be sent to the printer, works with other coordinators to ensure timely receipt of pages, proofreads and edits final product before printing.
- Sponsor Coordinator Seeks out organizations / companies /persons who would want to be sponsors of the entire conference, explains costs and benefits, facilitates purchase of sponsorship in person or via internet, follows through with sponsors from the time of commitment to the time of purchase, ensures proper information is displayed on posters and in the program, greets and introduces sponsors at conference.
- Catering / Venue Coordinator Works with venue events coordinator where the conference will be held, sets up and orders food menu, ensures venue meets all conference needs, facilitates catering payments, makes sure things run smoothly the day of the conference.
- Conference Promotions Coordinator Advertises and promotes the conference anywhere and everywhere possible, sends out relevant emails to members including save the date flyers, creates and distributes a conference brochure, oversees creation / printing of all signs / posters for the day of the conference and before.
- Registration Coordinator Receives all attendee registration information, maintains records of the same, prepares organized system for day of conference registration, works with UMTIA board / webmaster to coordinate internet registration, explains system to conference volunteers.
